Job Description

Sibylline is looking for a talented professional to support our internal management of Embedded Services. This role would be responsible for supporting regional and senior Embedded Services Managers in leading the coordination of RFP processes for new clients/teams and also delivering overarching process, training, change implementation and project management. 

Sibylline’s Embedded Services support a diverse range of clients across multiple sectors, and the roles and functions of our embedded teams reflect that. All our embedded deployments are tailored to fit our clients' requirements, and the approach of our Embedded Services Managers must reflect that. The Administrative and Process Manager would support the Embedded Services Managers in being adaptable and responsive in delivering effective solutions in managing these services. 

The Embed Services team is a key source of resources, advice, training, and development for our embedded staff; candidates must have strong awareness of the various needs of private-sector intelligence teams and be capable of developing and delivering processes to support these. 

Candidates must be self-starters, with the ability to work both independently and as part of a global team across Sibylline. The candidate will report to Sibylline’s Senior Embedded Services manager.

Qualifications

Essential Functions:  

Process and Project Management:  

  • Work with Embedded Services colleagues and other Sibylline branches to finesse policies and processes for managing the embed program (the “Embed Playbook”), as well as general business process optimisation;  

  • Support the Senior Embedded Services Manager and Head of Embedded Services with the overall implementation of quality service and continuous improvement; strive for innovation and implementing new techniques, best practices, and information relevant to the role.  

Business Development: 

  • Work with multiple stakeholders and business verticals within Sibylline to project manage client proposals, and helping to identify client growth and cross-selling opportunities;   

Supporting Account Management:  

  • Support development of KPIs and processes for quarterly business review meetings;  

  • Processes for monthly invoicing, expenses and billing 

Resources and Training Delivery:  

  • Quickly develop and maintain knowledge of products and services offered by Sibylline;  

  • Occasionally assist with the development and delivery of intelligence training programs and offerings, both internal and external;  

  • Assist the Head of Embedded Services and Training & Consultancy with maintaining a centralized Intelligence Hub for facilitating collaboration and resource-sharing across the embedded network. 

Occasional Functions: 

  • Attend and support industry conferences, seminars, and working groups for personal professional development and enhancing the Sibylline brand.

Skills, Experience and Qualifications: 

  • University / college degree, preferably in Security Studies, International Relations, Business Management, Communications, or a related field – a demonstrated interest in corporate security and global affairs is essential;  

  • 2-5 years’ experience working in a dynamic commercial setting; 

  • Excellent understanding of the intelligence consulting sector, particularly related to corporate security, investigations, and risk management;  

  • Project and change management experience; 

  • Robust interpersonal skills, and the ability to quickly forge positive relationships;  

  • Commercially astute, with knowledge of RFP and new business development processes;  

  • Pro-active, self-confident, and ready to take responsibility with minimal supervision;  

  • Ability to multi-task and quickly pivot between responsibilities as new, time-sensitive issues emerge;  

  • Able to professionally handle confidential and sensitive material, including client information and data;  

  • Advanced knowledge of Microsoft Office tools, including Excel, PowerPoint, and Word;  

  • Fluency in English, both written and verbal;  

  • Excellent attention to detail;  

  • Strong organizational and planning skills;  

  • Full existing authorization to live and work in the US;  

  • Willing to undertake domestic and international travel as needed.  

Nice to Have: 

  • Advanced degree (Master’s or above) in a related field;  

  • Exposure to / awareness of a corporate security environment, such as control centres, fusion centres, or crisis management teams;  

  • Strong skillset building bespoke databases for project management (PowerBI, Tableau etc) 

  • Experience with project management software and CRM tools; 

  • Experience organizing and maintaining financial spreadsheets / invoicing.  

Additional Information

Successful candidates will be invited to complete a writing assessment to test communication skills.  Shortlisted applicants will then be invited to a final panel interview with the Head of Embedded Services and Senior Embedded Services Manager. All our interviews will be conducted virtually. 

​The remuneration for this role is negotiable for the right candidate, dependent on qualifications, aptitude and experience.  The salary range for this position is $75,000 - $83,000 per year.
